Points expiration determines if and when members lose unused points. Let points last forever, or set them to expire based on time or member activity.
Navigate to Settings -> Rewards program -> Points to configure points expiration.
By default, points never expire. This keeps your program simple and lets you add expiration later if needed.
When members redeem points, Cevoid automatically uses points with the closest expiration date first (first in, first out). This helps members avoid losing points.
All expiration times are based on your workspace timezone setting. Points expire at 23:59:59 on the expiration date, meaning members can use their points through the entire expiration day.
Available expiration methods
| Expiration method | How it works |
|---|
| Points never expire | Members keep all their points indefinitely. |
| Rolling expiration with minimum period | Points earned in the same month expire together at the end of that month, X months later. |
| Individual expiration with minimum period | Points expire at the end of the member’s anniversary month, X years later. |
| Collective expiration with minimum period | All points expire at the end of a chosen month, X years later. |
| Inactivity-based expiration | Points expire at the end of the month, X months after the member’s last activity. Activity resets the countdown. |
Method: Points never expire
How it works: Points never expire. Members can accumulate and use points at any time.
Method: Rolling expiration with minimum period
How it works: Points earned in the same month expire together at the end of that month, X months later.
For example, with a 24-month period: points earned on January 4th, January 15th, and January 28th all expire on January 31st, two years later. This ensures points expire on predictable monthly dates instead of daily.
Available expiration periods: 6, 12, 18, 24, 30, 36, 42, or 48 months
Example with 24-month expiration:
| Member | Points earned | Earned date | Expiration date |
|---|
| Alice | 100 | 2026-01-04 | 2028-01-31 at 23:59:59 |
| Bob | 150 | 2026-01-05 | 2028-01-31 at 23:59:59 |
| Carol | 200 | 2026-01-06 | 2028-01-31 at 23:59:59 |
| David | 125 | 2026-05-07 | 2028-05-31 at 23:59:59 |
| Eve | 175 | 2026-12-23 | 2028-12-31 at 23:59:59 |
Method: Individual expiration with minimum period
How it works: Points expire at the end of the member’s anniversary month, X years later.
A member’s anniversary month is the month they joined the program. For example, if a member joined in March, all their points expire at the end of March each year. This ensures each member has one personal expiration date per year.
Points earned before the anniversary month expire that same year. Points earned after the anniversary month expire the following year. For example, if the anniversary month is March: points earned in January expire that March, while points earned in April expire the following March.
Available expiration periods: 1, 2, 3, or 4 years
Example with 2-year expiration:
| Member | Join date | Points earned | Earned date | Expiration date |
|---|
| Alice | 2023-03-15 | 100 | 2025-01-15 | 2027-03-31 at 23:59:59 |
| Bob | 2023-03-15 | 150 | 2025-03-10 | 2027-03-31 at 23:59:59 |
| Carol | 2023-03-15 | 200 | 2025-05-20 | 2028-03-31 at 23:59:59 |
| David | 2023-03-15 | 125 | 2025-12-01 | 2028-03-31 at 23:59:59 |
| Eve | 2022-11-08 | 175 | 2025-06-15 | 2027-11-30 at 23:59:59 |
Method: Collective expiration with minimum period
How it works: All points expire on a fixed date you choose (e.g., December 31st), X years later.
Every member shares the same expiration date. This makes it easy to communicate a single yearly deadline to all members.
Available expiration periods: 1, 2, 3, or 4 years
Expiration day options: Last day of any month (January 31st, February 28th/29th, March 31st, etc.)
Example with 2-year expiration and December 31st expiration day:
| Member | Points earned | Earned date | Expiration date |
|---|
| Alice | 100 | 2026-01-04 | 2028-12-31 at 23:59:59 |
| Bob | 150 | 2026-01-05 | 2028-12-31 at 23:59:59 |
| Carol | 200 | 2026-01-06 | 2028-12-31 at 23:59:59 |
| David | 125 | 2026-05-07 | 2028-12-31 at 23:59:59 |
| Eve | 175 | 2026-12-23 | 2028-12-31 at 23:59:59 |
Method: Inactivity-based expiration
How it works: Points expire at the end of the month, X months after the member’s last qualifying activity.
All points in the member’s account share the same expiration date. When a member completes a qualifying activity, the expiration date resets for their entire balance. This encourages members to stay active in your program.
Available expiration periods: 6, 12, 18, 24, 30, 36, 42, or 48 months
Qualifying activities (you choose which ones apply):
- Completes a purchase incentive
- Completes any activity
- Redeems a reward with points
Example with 24-month expiration:
| Member | Last activity | Earned date | Expiration date |
|---|
| Alice | 2025-01-15 | 2024-12-01 | 2027-01-31 at 23:59:59 |
| Bob | 2025-02-20 | 2024-11-10 | 2027-02-28 at 23:59:59 |
| Carol | 2025-04-10 | 2025-01-05 | 2027-04-30 at 23:59:59 |
| David | 2025-06-05 | 2025-03-15 | 2027-06-30 at 23:59:59 |
| Eve | 2024-09-20 | 2024-09-20 | 2026-09-30 at 23:59:59 |
Set or change your expiration method
- Navigate to Settings -> Rewards program -> Points
- Under Points expiration, select an expiration method from the dropdown
- Configure the expiration period and reminder emails
- Review the migration summary to see how existing and future points will be affected
- Type “CONFIRM” and click Confirm
Member fairness
When changing methods, Cevoid ensures member fairness: no points are lost during migration, and no points expire sooner than they currently would. This protects members who earned points under your previous settings and maintains trust in your program.
Expiration reminder emails
For all expiration methods (except “Points never expire”), send reminder emails before points expire.
| Reminder | Default | Range | Description |
|---|
| Friendly reminder | 30 days before | 1-120 days | A gentle reminder about upcoming expiration |
| Last reminder | 7 days before | 1-90 days | Final reminder before points expire |
These emails include the points that will expire, the expiration date and time, and the timezone.
