Data and limits

Understand how fresh analytics numbers are, when each metric's data starts, how long data is kept, and how many rows a report returns.

Analytics numbers depend on when data arrives, when it starts, and how long it's kept. This article explains each, and the limits on how much a report returns.

Days are in UTC

Analytics counts days, weeks, and "today" in UTC, whatever your workspace's time zone. An order placed at 00:30 in Stockholm in summer lands on the previous day in a report.

Weeks start on the first day of the week set in your workspace settings.

How fresh the numbers are

DataCan be up to
Today's numbers1 minute old
Orders attributed to contentAbout 10 minutes behind the order
Earlier days1 hour old

So a late event, or a correction for yesterday, can take up to an hour to show. A report doesn't update while it's open: click the refresh icon next to Last refreshed to load the latest data.

When data starts

Each metric's data starts on its own date in your workspace, depending on when Cevoid started recording that kind of data for you. When a report's date range starts earlier, the report builder marks it:

  • A dashed line on the chart at the date the data starts
  • An info icon on the metric, with the date: "Data for metric starts on date"
  • "No data has been recorded for metric yet" when there's no data at all

Some start dates are the same for every workspace:

DataStarts
Sales metrics that need synced orders: Gross sales, Net sales, returns, Average items per order, Customer lifetime value, and sales by productJuly 7, 2026
Orders, Order value, Average order value, CustomersThe earliest order from your connected store or from sales tracking
Widget and post interactionsApril 30, 2026. Earlier history exists only if it was imported for your workspace
Total posts, Total profiles, Total members over timeThe first post, profile, or member, because they're counted from each item's own creation date
Tier historyWhen Cevoid started recording tier changes. Members who already had a tier then count from the date they reached it

How long data is kept

DataKept for
Interactions with widgets, posts, and loyalty program widgets, and sales from sales tracking2 years
Orders, posts, profiles, upload forms, Instagram data, and loyalty program historyNo limit

So reports on post and widget interactions, and on orders by post, reach back at most 2 years. Store-wide order counts can reach further.

Interaction events from widgets are sent on a best-effort basis: in rare outages, some can be lost. Orders and your own data, such as posts and members, aren't affected.

Report limits

A report returns at most a set number of rows, depending on its breakdowns:

ReportReturns
No breakdown, or oneUp to 1,000 rows. With more values, such as one row per post, the first 1,000 are kept in the order of the breakdown's values, not the 1,000 highest
Date and another breakdownEvery date, and the 500 values with the highest total for the first metric
Two breakdowns, neither DateThe 500 highest values of the first breakdown, and within each, the 500 highest of the second

When a report hits the limit, the column header shows how many items there are in total.

Other limits:

LimitValue
Breakdowns per report2
Metrics on a Metric visualization4
Funnel steps2 to 8
Items a chart shows10 by default, up to 50
Rows a table shows100 by default, up to 1,000 with one breakdown or 500 with two
Rows in a direct export50,000. Larger exports are emailed: see Export reports
Future datesUp to 2 years ahead

Amounts and currencies

Cevoid stores order amounts in USD, converted near the time of the order, and converts them to the report currency when a report runs. So a report in your store's own currency can differ slightly from your store's own figures.
