Export reports

Export a report's data to a CSV file, downloaded right away or sent to you by email when the export is large.

Export a report to a CSV file to work with its data in a spreadsheet or another tool. The file holds the report as it's set up on screen, whether or not you've saved your changes.

Navigate to Analytics → Reports and open a report to export it.

SpecificationLimit
FormatCSV only
What you can exportSaved reports, default and custom
Direct downloadUp to 50,000 rows, when no breakdown reached its item limit
Email deliveryMore than 50,000 rows, or a breakdown that reached its item limit
Download linkSent only to the person who exported. It doesn't expire

How report export works

Report export turns one report into a CSV file. Anyone in your workspace can export reports.

  • Where: The Export button sits at the top of every saved report. A new report shows it once you've saved it. Dashboards and module pages have no Export.
  • What: The report as it's set up on screen, over its current date range: metrics, breakdown, time granularity, filters, currency, comparison, and table sorting. Unsaved changes are included.
  • Dashboards: To export the data behind a dashboard panel, open the panel's report and export it there

Export a report

  1. Navigate to Analytics → Reports and open the report
  2. Click Export at the top of the report
  3. Under Specify the results you want, select All results from the data query or Only results displayed in the report
  4. Optional: Select a Date format
  5. Click Export. The CSV downloads, or a message says Cevoid is emailing you the download link.

Export settings

SettingDescription
Select formatCSV, the only format
Specify the results you wantAll results from the data query (default) or Only results displayed in the report. See All results or displayed results
Date formatYYYY-MM-DD (default), DD-MM-YYYY, or MM-DD-YYYY. Shown only when the report has a time breakdown

All results or displayed results

The export setting Specify the results you want decides whether the file holds every row of the report or only the items the report displays.

  • All results from the data query: Every row the report's query returns
  • Only results displayed in the report: Gives a different file only when the report's Remaining items setting is Hide. The file then holds only the first breakdown's top items, as many as its Top N setting shows.

Hide is the default for reports shown as a table. With Show in table or Group, both options export the same rows. Top N and Remaining items are explained in Use the table.

How exports are delivered

Cevoid delivers an export in one of two ways, depending on its size.

DeliveryWhenWhat happens
Download50,000 rows or fewer, and no breakdown reached its item limitThe CSV downloads right away, and Report exported appears
EmailMore than 50,000 rows, or a breakdown reached its item limitCevoid prepares the file in the background and emails you a download link

A breakdown reaches its item limit when it has more items than a report can show: 1,000 rows for a report with one breakdown, or 500 items per breakdown for a report with two (every date is kept). See Data and limits. When a breakdown reached its limit, the emailed file holds more than the report shows, up to 100,000 rows. With two breakdowns, Cevoid keeps whole items of the first breakdown, ranked by the first metric, while their rows fit.

The email goes only to the person who exported, from noreply@mail.cevoid.com. Its subject is the report's name followed by export is ready, and it has a Download CSV button. Exporting the same report for the same dates again replaces the file behind the earlier link.

Note:

The download link doesn't expire, and anyone who has the link can download the file. Share it only with people who should see the data.

What's in the file

The exported CSV file follows the report's table, with these rules:

  • Columns: The breakdowns first, in breakdown order, then the metrics in the order they're listed in the report. The first row holds the column names, as the app names them.
  • Items: A breakdown by an item, such as a profile or a post, gets an ID column and a name column. Profiles also get an email column.
  • Previous period: With Comparison: Previous period on, each metric column is followed by a column with the same name plus (previous period)
  • Numbers: Exact values, with no rounding and no thousands separators
  • Money: Converted to the report's currency, with no currency symbol and no currency column. Note which currency the report uses before you share the file.
  • Dates: In the date format you chose. Days are UTC days, so an order placed at 00:30 in Stockholm summer time counts on the previous day.
  • Sorting: The same as the report's table, with any Other row last
  • Encoding: Comma-separated text in UTF-8

The file name is the report's name followed by the start and end dates of the range. With a time breakdown, the dates follow the date format you chose. Characters other than letters, numbers, hyphens, and underscores become underscores. For example, a report named Post clicks by Widget exported for July 2026 is saved as Post_clicks_by_Widget_2026-07-01_2026-07-31.csv.

Other ways to get report data

CSV export of one report at a time is the only export in analytics. There's no PDF or image export, no scheduled send-out, and no dashboard export. Report data isn't available through Cevoid's public API or webhooks.

Reviews and UGC have their own exports, separate from analytics: see Import & export.

To ask an AI assistant about your analytics instead, connect it to the MCP server.

Troubleshooting

Why is there no Export button?

Export appears only on saved reports. Save a new report first, then export it. Dashboards have no Export: open the panel's report from the dashboard and export it there.

Why didn't the export email arrive?

Cevoid doesn't send an email when a background export fails. Look for an email from noreply@mail.cevoid.com, and if there's none, export the report again.
