Email settings
Set who your emails come from and where replies go, send them from your own domain, and choose fallback fonts and your footer address.
Email settings apply to every email your workspace sends from its email templates: review, UGC, and loyalty program emails. They set who the emails come from, where customers' replies go, the domain they're sent from, and the fonts and address every email shares.
Navigate to Settings → Emails (new) → Settings to manage your email settings.
Settings
| Setting | Description |
|---|---|
| From name | The sender name shown next to the subject. When it's empty, emails use your workspace's Username |
| From address | The address emails come from: Cevoid's noreply@cevoidemail.com, or a mailbox on your own domain once the domain is verified |
| Reply-to | Where customers' replies go. When it's empty, replies go to the From address |
| Custom sending domain | Your own domain, so emails can come from an address on it. See Send from your own domain |
| Headings, Body text | Under Fallback font: the fonts emails use when an email app doesn't load your brand fonts. The default is System default |
| Address | Under Physical address: shown in the footer of customer emails. See Physical address |
Change your sender
The sender is the name and address customers see next to your email's subject.
- Navigate to Settings → Emails (new) → Settings
- Enter the sender name in From name
- Optional: Select your domain in the menu next to From address, and enter the mailbox in front of it, such as
hello. Only a verified domain can be selected. - Enter the address that should get replies in Reply-to, such as your support inbox
- Click Save changes
While From address is on @cevoidemail.com, its mailbox is always noreply and can't be changed. Your emails come from noreply@cevoidemail.com with your From name, and replies go to your Reply-to.
While your emails come from noreply@cevoidemail.com, set a Reply-to address. Without one, customers' replies go to noreply@cevoidemail.com and nobody reads them. Cevoid shows this reminder under Reply-to and in the email editor.
Send from your own domain
A custom sending domain lets your emails come from an address on your own domain, such as hello@yourdomain.com, instead of noreply@cevoidemail.com. You add the domain, add the DNS records Cevoid lists at your domain provider, and Cevoid verifies them. A workspace has one custom sending domain.
This setup needs access to your domain's DNS settings. If you don't manage them yourself, share these steps with whoever does.
Add your domain
- Navigate to Settings → Emails (new) → Settings
- Click Add domain under Custom sending domain. The Custom sending domain page opens.
- Enter your domain under Domain, such as
yourdomain.com, or a subdomain such asmail.yourdomain.comto keep these emails separate - Click Add domain. The page lists the DNS records to add.
You can't use a public mailbox domain, such as gmail.com or outlook.com.
Add the DNS records and verify
The Add DNS records step lists every record your domain needs, in groups. Each row shows the record's Type, Name, Value, TTL, and Status, and Priority where a record needs one.
| Group | What it does | Needed to verify |
|---|---|---|
| Domain verification | Signs your emails so inboxes can confirm they came from you | Yes |
| Sending | Lets Cevoid send email for your domain | Yes |
| Cevoid ownership | Proves this workspace may send as your domain | Yes |
| Tracking links | Lets the links in your emails use your domain. Marked Recommended | No |
| DMARC | Asks inboxes for reports on emails from your domain. Marked Optional, and safe to add unless your domain already has a DMARC record | No |
- Navigate to Settings → Emails (new) → Settings and click Verify domain next to your domain
- Copy each record into your domain provider's DNS settings, with its Type, Name, and Value. Click a name or value to copy it.
- Click I've added the records. Cevoid checks your records, which usually takes a few minutes.
Below the records, the page shows how many of the required records are verified. The domain's status changes to Verified once all of them are.
- Names: Record names are shown relative to your domain, the way most DNS providers want them.
@means the domain itself. - Cloudflare: Set CNAME records to DNS only, not proxied
- Timing: While the page is open, Cevoid checks your records every minute. Most verify within 15 minutes, but DNS changes can take up to 72 hours. To check again yourself, click Verify again, at most once a minute.
- After 7 days: A domain that isn't verified within 7 days of being added is removed. You can add it again at any time.
- Sharing the records: Click More and select Copy instructions to copy every record as text, or Copy instructions as prompt to copy them as a task for an AI agent with access to your DNS
Until your domain verifies, emails come from noreply@cevoidemail.com.
Start sending from your domain
When your domain verifies for the first time, Cevoid moves your From address onto it. The mailbox you had stays, or it becomes hello, as in hello@yourdomain.com. From then on, every email comes from that address.
The Ready to send step on the Custom sending domain page shows who your emails come from and where replies go. Click Send test email to send yourself a test. If your From address isn't on the domain, the step says so: select the domain under From address in your email settings, and click Save changes.
Domain statuses
Your domain's status shows next to it under Custom sending domain, and on the Custom sending domain page.
| Status | What it means | Your emails |
|---|---|---|
| Waiting for DNS | Cevoid hasn't found every required record yet | Come from noreply@cevoidemail.com |
| Verified | Every required record is in place | Come from your From address on the domain |
| Verification failed | A required record is missing or wrong | On hold if the domain was verified before. Otherwise they come from noreply@cevoidemail.com |
Each record has its own status: Not checked, Pending, Verified, Failed, or Retrying. Cevoid doesn't check the DMARC record, but marks it Already set when your domain has one.
When your domain stops verifying
Once your emails have come from your own domain, Cevoid doesn't switch them back to noreply@cevoidemail.com on its own. If the domain stops verifying, for example because a DNS record was removed, Cevoid holds your emails instead. Cevoid checks a verified domain at least once a day.
- Status: The domain shows Verification failed, and the Custom sending domain page shows which records aren't verified
- Held emails: Emails that come due are held in Outbox with the reason Sending domain not verified
- Tests: Test emails can't be sent until the domain verifies again
- Alert: Admins get a Sending domain stopped verifying email, unless they've turned it off in Settings → Notifications. See Notifications.
To fix it, add the missing records again and click Verify again on the Custom sending domain page. To send from Cevoid's address meanwhile, select @cevoidemail.com under From address and click Save changes. Select your domain again once it verifies.
Remove your domain
Removing your domain sends your emails from noreply@cevoidemail.com again, right away, with your address as the reply-to. To use another domain, remove the current one, then add the new one.
- Navigate to Settings → Emails (new) → Settings and click your domain under Custom sending domain
- Click More in the upper right corner
- Select Remove domain, or Remove and start over for a domain that failed
- Enter your domain to confirm
- Click Remove domain
The DNS records you added can stay. They count again if you add the same domain later.
Fallback fonts
Your emails use the heading and text fonts of your BrandKit. When an email app doesn't load them, it shows the fallback fonts you choose under Fallback font: one for Headings and one for Body text.
- Navigate to Settings → Emails (new) → Settings
- Select a font in Headings
- Select a font in Body text
- Click Save changes
The fonts are System default, Arial, Helvetica, Verdana, Tahoma, Trebuchet MS, Georgia, Times New Roman, and Courier New. Each option shows in its own font. Until you choose one for Headings, headings use the Body text font.
Physical address
Your physical address shows in the footer of every customer email, under Physical address in Settings → Emails (new) → Settings.
- On Shopify: The address comes from your Shopify store and is marked Edited in Shopify. Click Edit to change it in Shopify. If your store has no address, Cevoid says so: add one in Shopify to show it in your emails.
- On other platforms: Enter the address in Address, the way it should appear in the footer, and click Save changes
