Email settings apply to every email your workspace sends from its [email templates](https://docs.cevoid.com/emails/email-templates.md): review, UGC, and loyalty program emails. They set who the emails come from, where customers' replies go, the domain they're sent from, and the fonts and address every email shares.

Navigate to [Settings → Emails (new) → Settings](https://app.cevoid.com/settings/email-templates/settings) to manage your email settings.

## Settings

| Setting | Description |
| --- | --- |
| _From name_ | The sender name shown next to the subject. When it's empty, emails use your workspace's _Username_ |
| _From address_ | The address emails come from: Cevoid's `noreply@cevoidemail.com`, or a mailbox on your own domain once the domain is verified |
| _Reply-to_ | Where customers' replies go. When it's empty, replies go to the _From address_ |
| _Custom sending domain_ | Your own domain, so emails can come from an address on it. See [Send from your own domain](https://docs.cevoid.com/emails/email-settings#send-from-your-own-domain) |
| _Headings_, _Body text_ | Under _Fallback font_: the fonts emails use when an email app doesn't load your brand fonts. The default is **System default** |
| _Address_ | Under _Physical address_: shown in the footer of customer emails. See [Physical address](https://docs.cevoid.com/emails/email-settings#physical-address) |

## Change your sender

The sender is the name and address customers see next to your email's subject.

1. Navigate to [Settings → Emails (new) → Settings](https://app.cevoid.com/settings/email-templates/settings)
2. Enter the sender name in _From name_
3. Optional: Select your domain in the menu next to _From address_, and enter the mailbox in front of it, such as `hello`. Only a verified domain can be selected.
4. Enter the address that should get replies in _Reply-to_, such as your support inbox
5. Click **Save changes**

While _From address_ is on `@cevoidemail.com`, its mailbox is always `noreply` and can't be changed. Your emails come from `noreply@cevoidemail.com` with your _From name_, and replies go to your _Reply-to_.

> [!WARNING]
> While your emails come from `noreply@cevoidemail.com`, set a _Reply-to_ address. Without one, customers' replies go to `noreply@cevoidemail.com` and nobody reads them. Cevoid shows this reminder under _Reply-to_ and in the email editor.

## Send from your own domain

A custom sending domain lets your emails come from an address on your own domain, such as `hello@yourdomain.com`, instead of `noreply@cevoidemail.com`. You add the domain, add the DNS records Cevoid lists at your domain provider, and Cevoid verifies them. A workspace has one custom sending domain.

> [!NOTE]
> This setup needs access to your domain's DNS settings. If you don't manage them yourself, share these steps with whoever does.

### Add your domain

1. Navigate to [Settings → Emails (new) → Settings](https://app.cevoid.com/settings/email-templates/settings)
2. Click **Add domain** under _Custom sending domain_. The _Custom sending domain_ page opens.
3. Enter your domain under _Domain_, such as `yourdomain.com`, or a subdomain such as `mail.yourdomain.com` to keep these emails separate
4. Click **Add domain**. The page lists the DNS records to add.

You can't use a public mailbox domain, such as `gmail.com` or `outlook.com`.

### Add the DNS records and verify

The _Add DNS records_ step lists every record your domain needs, in groups. Each row shows the record's _Type_, _Name_, _Value_, _TTL_, and _Status_, and _Priority_ where a record needs one.

| Group | What it does | Needed to verify |
| --- | --- | --- |
| _Domain verification_ | Signs your emails so inboxes can confirm they came from you | Yes |
| _Sending_ | Lets Cevoid send email for your domain | Yes |
| _Cevoid ownership_ | Proves this workspace may send as your domain | Yes |
| _Tracking links_ | Lets the links in your emails use your domain. Marked _Recommended_ | No |
| _DMARC_ | Asks inboxes for reports on emails from your domain. Marked _Optional_, and safe to add unless your domain already has a DMARC record | No |

1. Navigate to [Settings → Emails (new) → Settings](https://app.cevoid.com/settings/email-templates/settings) and click **Verify domain** next to your domain
2. Copy each record into your domain provider's DNS settings, with its _Type_, _Name_, and _Value_. Click a name or value to copy it.
3. Click **I've added the records**. Cevoid checks your records, which usually takes a few minutes.

Below the records, the page shows how many of the required records are verified. The domain's status changes to _Verified_ once all of them are.

- **Names:** Record names are shown relative to your domain, the way most DNS providers want them. `@` means the domain itself.
- **Cloudflare:** Set CNAME records to _DNS only_, not proxied
- **Timing:** While the page is open, Cevoid checks your records every minute. Most verify within 15 minutes, but DNS changes can take up to 72 hours. To check again yourself, click **Verify again**, at most once a minute.
- **After 7 days:** A domain that isn't verified within 7 days of being added is removed. You can add it again at any time.
- **Sharing the records:** Click **More** and select **Copy instructions** to copy every record as text, or **Copy instructions as prompt** to copy them as a task for an AI agent with access to your DNS

Until your domain verifies, emails come from `noreply@cevoidemail.com`.

### Start sending from your domain

When your domain verifies for the first time, Cevoid moves your _From address_ onto it. The mailbox you had stays, or it becomes `hello`, as in `hello@yourdomain.com`. From then on, every email comes from that address.

The _Ready to send_ step on the _Custom sending domain_ page shows who your emails come from and where replies go. Click **Send test email** to send yourself a test. If your _From address_ isn't on the domain, the step says so: select the domain under _From address_ in your email settings, and click **Save changes**.

## Domain statuses

Your domain's status shows next to it under _Custom sending domain_, and on the _Custom sending domain_ page.

| Status | What it means | Your emails |
| --- | --- | --- |
| _Waiting for DNS_ | Cevoid hasn't found every required record yet | Come from `noreply@cevoidemail.com` |
| _Verified_ | Every required record is in place | Come from your _From address_ on the domain |
| _Verification failed_ | A required record is missing or wrong | On hold if the domain was verified before. Otherwise they come from `noreply@cevoidemail.com` |

Each record has its own status: _Not checked_, _Pending_, _Verified_, _Failed_, or _Retrying_. Cevoid doesn't check the _DMARC_ record, but marks it _Already set_ when your domain has one.

## When your domain stops verifying

Once your emails have come from your own domain, Cevoid doesn't switch them back to `noreply@cevoidemail.com` on its own. If the domain stops verifying, for example because a DNS record was removed, Cevoid holds your emails instead. Cevoid checks a verified domain at least once a day.

- **Status:** The domain shows _Verification failed_, and the _Custom sending domain_ page shows which records aren't verified
- **Held emails:** Emails that come due are held in [Outbox](https://docs.cevoid.com/flows/outbox.md) with the reason _Sending domain not verified_
- **Tests:** Test emails can't be sent until the domain verifies again
- **Alert:** Admins get a _Sending domain stopped verifying_ email, unless they've turned it off in [Settings → Notifications](https://app.cevoid.com/settings/account/notifications). See [Notifications](https://docs.cevoid.com/workspace/notifications.md#reviews).

To fix it, add the missing records again and click **Verify again** on the _Custom sending domain_ page. To send from Cevoid's address meanwhile, select `@cevoidemail.com` under _From address_ and click **Save changes**. Select your domain again once it verifies.

## Remove your domain

Removing your domain sends your emails from `noreply@cevoidemail.com` again, right away, with your address as the reply-to. To use another domain, remove the current one, then add the new one.

1. Navigate to [Settings → Emails (new) → Settings](https://app.cevoid.com/settings/email-templates/settings) and click your domain under _Custom sending domain_
2. Click **More** in the upper right corner
3. Select **Remove domain**, or **Remove and start over** for a domain that failed
4. Enter your domain to confirm
5. Click **Remove domain**

The DNS records you added can stay. They count again if you add the same domain later.

## Fallback fonts

Your emails use the heading and text fonts of your [BrandKit](https://docs.cevoid.com/brandkit.md#emails). When an email app doesn't load them, it shows the fallback fonts you choose under _Fallback font_: one for _Headings_ and one for _Body text_.

1. Navigate to [Settings → Emails (new) → Settings](https://app.cevoid.com/settings/email-templates/settings)
2. Select a font in _Headings_
3. Select a font in _Body text_
4. Click **Save changes**

The fonts are **System default**, **Arial**, **Helvetica**, **Verdana**, **Tahoma**, **Trebuchet MS**, **Georgia**, **Times New Roman**, and **Courier New**. Each option shows in its own font. Until you choose one for _Headings_, headings use the _Body text_ font.

## Physical address

Your physical address shows in the footer of every customer email, under _Physical address_ in [Settings → Emails (new) → Settings](https://app.cevoid.com/settings/email-templates/settings).

- **On Shopify:** The address comes from your Shopify store and is marked _Edited in Shopify_. Click **Edit** to change it in Shopify. If your store has no address, Cevoid says so: add one in Shopify to show it in your emails.
- **On other platforms:** Enter the address in _Address_, the way it should appear in the footer, and click **Save changes**
