# Import & export

> Import reviews and UGC from a CSV file, export them as CSV or JSON, and follow each import and export under Activity.

The Import & export page brings reviews and UGC over from another platform with a CSV file, and exports what Cevoid has collected as a CSV or JSON file. Imports and exports run in the background, and the page lists each one under _Activity_.

Navigate to [Settings → Import & export](https://app.cevoid.com/settings/import-export) to import or export data.

## Data types

The Import & export page has a row for each data type, with **Import** and **Export**. The steps, the columns, and what an import does with data already in your workspace are in each module's article.

## How imports and exports work

Every import and every export holds one data type.

- **Imports:** In the import editor, you select the _Source platform_ your file comes from, upload a CSV file, map its columns to Cevoid's fields, and check a preview of the first 30 rows. Uploading the file saves the import as a draft, so you can finish it later. The draft keeps its data type and source platform: to change them, start a new import. Once you start the import, it runs in the background, and you can leave the page.
- **Exports:** In the export editor, you select a _Format_ and a _Date_ range, and the preview shows how many rows match and the first 30 of them. **CSV** files can be imported back into Cevoid, and **JSON** files keep nested data. When the file is ready, Cevoid emails you a link.

> [!NOTE]
> Only the team member who created an import can change, start, stop, or delete it. Anyone on your team can open a run, download its files, and undo a review import.

## Activity

_Activity_, below the data types, lists every import and export in your workspace, newest first. Select **All**, **Imports**, or **Exports** above the list to filter it.

| _Job_ | The direction and the data type, such as _Import · User-generated content_ |
| _Rows_ | How many rows the run has processed |
| _Status_ | The run's status. See [Run statuses](https://docs.cevoid.com/workspace/import-and-export#run-statuses) |
| _When_ | When the run finished, or when it was created if it hasn't finished. Hover over it to see the date and time |

Click a run to open it. A draft opens in the import editor, and any other run opens its [details](https://docs.cevoid.com/workspace/import-and-export#run-details).

The **...** menu on a row holds the actions the run has: **Download export**, **Download error report**, **Delete draft**, and, for a review import, **Undo import**. See [Undo an import](https://docs.cevoid.com/reviews/collect/import-and-export.md#undo-an-import).

## Run details

A run's details open in a panel over the page. While the run is running, they show its progress: the current step, and how far it has come in percent.

| _Source_ | The source platform of an import. Exports show Cevoid |
| _File_ | The name of the imported file |
| _Format_ | CSV or JSON |
| _Initiated by_ | The team member who started the run |
| _File expires_ | When the run's file can no longer be downloaded |
| _Status_ | The run's [status](https://docs.cevoid.com/workspace/import-and-export#run-statuses) |
| _Error_ | Why the run failed, if it did |
| _Rows_, _Created_, _Updated_, _Skipped_, _Error items_, _Processed_ | For an import: the rows in the file, and what happened to them. Each count shows once it's above 0 |
| _Exported_ | For an export: the rows in the file |

Below the details are the buttons the run has:

- **Stop import:** Ends an import that's queued or running. See [Stop an import](https://docs.cevoid.com/workspace/import-and-export#stop-an-import).
- **Download export**, **Download error report:** Download the run's files. See [Download an export or an error report](https://docs.cevoid.com/workspace/import-and-export#download-an-export-or-an-error-report).
- **View reviews**, **View posts:** Open what a finished import brought in, filtered to that import
- **Configure new import**, **Configure new export:** Open a new run of the same data type, after a run failed or was cancelled. The old run stays as it is.
- **Undo import:** Deletes the reviews a review import created. See [Undo an import](https://docs.cevoid.com/reviews/collect/import-and-export.md#undo-an-import).

## Run statuses

A run's badge shows its status, under _Activity_ and in its details. When a run failed, was cancelled, expired, or completed with errors, hover over the badge to see more.

| Status | What it means |
| --- | --- |
| _Draft_ | An import that's saved and not started |
| _Queued_ | Waiting to start |
| The current step, such as _Importing posts and media_ | Running. The steps are in the table below |
| _Completed_ | Finished: every row is imported or skipped, or the export file is ready |
| _Completed with errors_ | Finished, but some rows couldn't be imported. The error report lists them |
| _Expired_ | The export's file is no longer available to download |
| _Failed_ | Stopped before it finished. Hover over the badge to see why |
| _Cancelled_ | Someone stopped the import, or its draft expired before it was started |

While a run is running, its badge shows the step it's on:

## Download an export or an error report

An export's file and an import's error report can be downloaded for 7 days, by anyone on your team. An import has an error report only when it skipped a row or left something out.

1. Navigate to [Settings → Import & export](https://app.cevoid.com/settings/import-export)
2. Click **...** on the run under _Activity_
3. Select **Download export** or **Download error report**. The download starts.

You can also open the run and click **Download export** or **Download error report** in its details. The email Cevoid sends when an export is ready opens the export's details. ## Stop an import

**Stop import** ends an import that's queued or running. What it already imported stays, and you can start another import of the same data type. Only the team member who created the import can stop it.

1. Navigate to [Settings → Import & export](https://app.cevoid.com/settings/import-export)
2. Open the import under _Activity_. Its details open.
3. Click **Stop import**. The status changes to _Cancelled_.

Stopping doesn't remove what the import brought in. To delete the reviews an import created, see [Undo an import](https://docs.cevoid.com/reviews/collect/import-and-export.md#undo-an-import). A UGC import can't be undone: see [Remove imported posts](https://docs.cevoid.com/ugc/collect/import-and-export.md#remove-imported-posts).

## Delete an import draft

Deleting a draft takes it off _Activity_, and it can no longer be started. Reviews and posts from earlier imports stay as they are. Only the team member who created the draft can delete it.

1. Navigate to [Settings → Import & export](https://app.cevoid.com/settings/import-export)
2. Click **...** on the draft under _Activity_
3. Select **Delete draft**
4. Click **Delete draft** to confirm

You can also delete a draft in the import editor, with **More** → **Delete draft**.
