# Profiles

> View and manage profiles for your customers, creators, and members, created automatically from purchases, program signups, content submissions, and reviews.

Cevoid keeps a single profile for each person in your workspace, combining their UGC, reviews, program activity, purchases, and collected data in one place. Profiles help your team keep your brand community organized, and the person can't access their own profile. Cevoid creates a profile the first time a person uploads a post, approves a rights request, opts in to your loyalty program, writes a review, or makes a purchase, or when your team adds them manually or imports their reviews.

Navigate to [Profiles](https://app.cevoid.com/profiles) to view and manage your profiles.

## Profiles overview

The profiles overview, titled _All profiles_, displays all profiles in your workspace as a table. Use segments, filters, and search to find specific profiles.

### Segments

Segment tabs appear above the table, letting you quickly switch between different groups of profiles. The **All** tab shows every profile in your workspace, and segments that don't fit are under **More segments**.

### Search and filter

Use the search bar to find profiles by name, email, or Instagram handle.

Click **Filter** to filter profiles by fields such as _Assignee_, _Labels_, _Market_, _Tier_, _Reviews_, _Program opt-in_, or a [profile property](https://docs.cevoid.com/profiles/profile-properties.md). With filters on more than one field, click **Match all filters** to switch to **Match any filter**. **Clear** removes every filter, and **Save as segment** saves them as a [segment](https://docs.cevoid.com/profiles/segments.md#create-a-segment).

### Customize columns

The _Name_ column always shows, with the profile's picture and email. Click **Columns** to choose the other columns:

| **Reviews (all)** | Number of product and company reviews they've written |
| **Product reviews** | Number of product reviews they've written |
| **Company review** | Whether they've written a company review |
| **Product rating** | Average rating of their product reviews |
| **Company rating** | Rating of their company review |
| **Last reviewed** | Date of their most recent review |
| **Instagram** | Instagram handle |
| **Instagram rights** | Content rights status. See [Whitelist a creator](https://docs.cevoid.com/ugc/collect/ugc-from-instagram.md#whitelist-a-creator) |
| **Points** | Current points balance |
| **Tier** | Current tier |
| **Activities** | Number of activities they've taken part in |
| **Spend** | Total spend from tracked orders |
| **Orders** | Number of tracked orders |
| **Assignee** | Team member assigned to this profile |
| **Country** | Profile's country |
| **Birthdate** | Profile's birthdate |
| **Language** | Profile's language |
| **Last activity** | Date of most recent activity |
| **Program opt-in** | Date they joined the program |
| **Created** | Date the profile was created |

Custom profile properties also appear as column options.

After you change the columns, click **Set as default** in the **Columns** menu to save your selection for your team, or **Reset to default** to restore the saved default.

## Profile page

Click a profile in the profiles overview to open its page. The page has seven tabs: **Overview**, **UGC**, **Loyalty**, **Reviews**, **Orders**, **Activity**, and **Analytics**.

A member on your loyalty program's [waitlist](https://docs.cevoid.com/loyalty/setup/general-program-settings.md#waitlist) has a banner on their profile page: your team can't act on them or their content until you click **Approve**.

### Overview tab

The **Overview** tab shows profile information and a summary of their engagement.

**Profile information**

| Field | Description |
| --- | --- |
| _Name_ | The profile's display name |
| _Email_ | Email address |
| _Assignee_ | Team member responsible for this profile |
| _Labels_ | Profile labels added by your team. Learn more about [profile labels](https://docs.cevoid.com/profiles/profile-labels.md) |
| _Content flow_ | Where the profile's new posts go once you have the rights to them: posts from an [upload form](https://docs.cevoid.com/ugc/collect/upload-forms.md), an approved [Instagram request](https://docs.cevoid.com/ugc/collect/ugc-from-instagram.md), or [direct access on Instagram](https://docs.cevoid.com/ugc/collect/ugc-from-instagram.md#whitelist-a-creator). **Send to inbox for approval** (default) or **Send to approved posts** |
| _Email notifications_ | Which emails they receive (Confirmations, Reminders, Promotions), with Promotions needed for the [review requests](https://docs.cevoid.com/reviews/collect/review-requests.md) that Cevoid emails |
| _Notes_ | Internal notes from your team |
| _Profile created_ | When the profile was created |

Reviews show the profile's name in public the way the reviewer chose under _Show my name as_ on the [review form](https://docs.cevoid.com/reviews/collect/review-forms.md#customer-experience), such as **First name only** or **Anonymous**, a choice your team can't change.

**Profile properties**

Collected data about the profile: _Country_, _City_, _Language_, _Birthdate_, and your custom properties, including answers to the profile questions on your review forms. Click a value to edit it.

**Socials**

| Field | Description |
| --- | --- |
| _Instagram_ | Their Instagram handle |
| _Instagram rights_ | Content rights setting for their posts, shown when the profile has an Instagram handle. See [Whitelist a creator](https://docs.cevoid.com/ugc/collect/ugc-from-instagram.md#whitelist-a-creator) |
| _TikTok_ | Their TikTok handle |
| _X.com_ | Their X (Twitter) handle |

**Integrations**

The profile's market, and its sync status with each platform that syncs profile data:

| Field | Description |
| --- | --- |
| _Market_ | The [market](https://docs.cevoid.com/profiles/profile-data-event-sharing.md#what-market-a-profile-is-connected-to) the profile belongs to, which you can change here |
| _Shopify_ | **Synced** or **Not synced yet** with a customer in Shopify |
| _Klaviyo_ | **Synced** or **Not synced yet** with a profile in Klaviyo |
| _Voyado_ | **Synced** or **Not synced yet** with a contact in Voyado |

Click a status to sync the profile now with **Sync profile**, or to open it in Shopify or Klaviyo.

**Program membership**

If the profile is a program member, this section shows:

| Field | Description |
| --- | --- |
| _Member since_ | Date they joined the program |
| _Current tier_ | Their tier in the program |
| _Point balance_ | Current points available |
| _Total points earned_ | Lifetime points earned |
| _Total spend_ | Total from tracked orders |
| _Total orders_ | Number of tracked orders |

Below them, "Progress to" and the next tier's name show a progress bar for each milestone of that tier, and _Earning period_ shows the dates of the member's current earning window. Neither shows for members on an invite-only tier.

Actions available:

- **See engagement:** Open the **Loyalty** tab
- **Adjust points:** Manually add or remove points. See [Adjust a member's points](https://docs.cevoid.com/profiles#adjust-a-members-points).
- **Change tier:** Manually change their tier. See [Manually place a member on a tier](https://docs.cevoid.com/loyalty/tiers.md#manually-place-a-member-on-a-tier).

If the profile is not a program member, click **Opt in to program** in this section, then **Yes**, to add them manually.

**Latest content**

The profile's six newest approved posts. Click a post to open it, or **See all content** to open the **UGC** tab.

**Latest reviews**

The profile's three newest reviews, product and company. Click a review to open it, or **See all reviews** to open the **Reviews** tab.

**Recent activity**

The 10 newest entries from the **Activity** tab. Click **See all activity** to open the tab.

### UGC tab

The **UGC** tab is a content portfolio for this profile. The count on the tab is the profile's Inbox posts plus the Instagram posts Cevoid detected from their handle. The tab has two views:

- **Content:** The profile's posts in your Inbox and Library, grouped by status, with **Filter** and **Display** as in the [Library and Inbox](https://docs.cevoid.com/ugc/manage/library-and-inbox.md). Drop files onto this view to add approved posts owned by the profile. See [Upload posts to a profile](https://docs.cevoid.com/ugc/collect/platform-uploads.md#upload-posts-to-a-profile).
- **Instagram:** The posts Cevoid detected from the profile's Instagram handle, under **All posts**, **Requested**, **Removed**, and **Copyright striked**

### Loyalty tab

The **Loyalty** tab shows detailed loyalty program information:

- **Stats:** Member since, Completed activities, Point balance, Points earned, Spend, Orders
- **Submissions:** Table of all activity submissions with _ID_, _Activity_, _Type_, _Status_, _Tasks_ (completed out of total), and _Submitted_. A row's **...** menu has **View submission**, **View activity**, and, for a submission that needs verification, **Approve**.
- **Rewards:** Table of the rewards received, except points, with _Reward_, _Source_, _Type_, _Status_, and _Awarded_. _Status_ changes the reward's fulfillment status, and a row's menu has **View reward** and **Mark as fulfilled**. ### Reviews tab

The **Reviews** tab lists the reviews this profile has written: their company review, and their product reviews, with tabs for **All**, **Pending**, **Published**, **Rejected**, and **Hidden**. The count on the tab includes pending and rejected reviews. Open a review to read it in full, moderate it, or reply. ### Orders tab

The **Orders** tab lists the orders Cevoid has for this profile, newest first, with the same search, filters, and columns as the Orders page. See [Orders on a profile](https://docs.cevoid.com/orders-products/orders.md#orders-on-a-profile).

### Activity tab

The **Activity** tab is a complete log of all actions related to this profile, including:

- Orders placed, fulfilled, canceled, and refunded, each linking to the order
- Tier changes
- Activity participation
- Label changes
- Property updates
- Settings changes
- Points adjustments
- Posts added and removed
- Content status changes
- Review submissions, updates, and removals

### Analytics tab

The **Analytics** tab shows how this profile's content performs, as seven default [reports](https://docs.cevoid.com/analytics/reporting/reports.md) filtered to the profile:

- **Tiles:** _Total Posts_ and _Post Performance_
- **Charts:** _Total Posts by date_, _Total Posts by Content Source_, and _Total Posts by Content Type_
- **Tables:** _Top 24 Performing Posts_, and _Top 24 Impression Conversions_ for the orders attributed to impressions of the profile's posts

The date range above the reports covers all time by default. Click a report's title to open the full report. The layout is fixed, and the tab has no comparison or currency setting.

## Create a profile

Manually create profiles for customers or members.

1. Navigate to [Profiles](https://app.cevoid.com/profiles)
2. Click **Create profile**. _New profile_ opens.
3. Enter the profile's details
4. Click **Create profile**

| Field | Description |
| --- | --- |
| _Instagram username_ | Optional. Used to identify content from Instagram. |
| _Email address_ | Optional. Used for communication and to identify content from direct uploads. |
| _Display name_ | Required, 3 to 40 characters. Shown as name for non-social media posts. |
| _Instagram rights_ | Appears when an Instagram username is entered. Select how you want to access this profile's content. See [Whitelist a creator](https://docs.cevoid.com/ugc/collect/ugc-from-instagram.md#whitelist-a-creator). |
| **Manually opt-in to program** | Enable to add them to your loyalty program. |

An email address or Instagram username can belong to only one profile in your workspace.

## Edit a profile

1. Navigate to [Profiles](https://app.cevoid.com/profiles) and open the profile
2. Click the value you want to change on the **Overview** tab
3. Select the new value in the list that opens, or enter it in the dialog and click **Save changes**. A custom property's dialog has **Save**.

A value you select from a list, such as _Content flow_ or _Market_, saves at once.

## Change a profile picture

A profile's picture shows on your storefront and in embeds, such as with the profile's reviews. Reviews by a reviewer who chose **Anonymous** show no picture.

1. Navigate to [Profiles](https://app.cevoid.com/profiles) and open the profile
2. Click the profile picture, or its placeholder, next to the profile's name. A menu opens.
3. Select **Upload profile picture**, or **Replace profile picture** when the profile has one
4. Select an image. _Crop image_ opens.
5. Optional: Drag the image to change what the square crop shows
6. Click **Save and exit**. The new picture shows on the profile.

To remove the picture, click it, select **Remove profile picture**, and confirm with **Remove**. The picture is cleared from the profile and stops showing on your storefront and in embeds. The profile's reviews, with their ratings and text, stay as they are.

## Assign a profile

Assign profiles to team members to track who's responsible for managing relationships.

1. Navigate to [Profiles](https://app.cevoid.com/profiles) and open the profile
2. Click **Unassigned** (or the current assignee) next to _Assignee_
3. Select a team member

**From the profiles overview:** Add the **Assignee** column with **Columns**, then click a profile's cell in it and select a team member.

## Adjust a member's points

Add or remove points on one member by hand, for example to correct a balance.

1. Navigate to [Profiles](https://app.cevoid.com/profiles) and open the member's profile
2. Click **Adjust points** in _Program membership_. _Adjust points balance_ opens.
3. Enter the number of points in _Points adjustment_. Use a negative number to remove points.
4. Optional: Enter a _Reason for adjustment_. It's for internal use only.
5. Check the _New points balance_
6. Click **Adjust points**

An adjustment also changes the member's points earned and their tier progress, so it can move them up or down a tier. With Voyado as your [points provider](https://docs.cevoid.com/loyalty/setup/points.md#points-provider), the points go to the member's Voyado contact instead of their Cevoid balance.

To give back the points of a redeemed reward that wasn't delivered, cancel the reward in [Reward fulfillment](https://docs.cevoid.com/loyalty/rewards/reward-fulfillment.md#cancel-a-reward) instead. An adjustment adds new points, with a new expiry date.

## Profile actions

Click **More** in the top right of a profile page to access additional actions:

| Action | Description |
| --- | --- |
| **Copy profile ID** | Copy the profile's unique ID to your clipboard |
| **Create gallery** | Create a UGC gallery featuring this profile's content |
| **Import Instagram posts** | Import the tagged and mentioned posts Cevoid already detected from the profile's Instagram handle, when _Instagram rights_ is **Direct access to historical & future posts** |
| **Merge with...** | Merge this profile with another profile |
| **Remove from program** | Remove the member from your loyalty program |
| **Delete** | Permanently delete the profile |

## Merge profiles

If the same person has multiple profiles, merge them into one. This is useful when a customer has interacted with your brand through different channels or email addresses.

1. Navigate to [Profiles](https://app.cevoid.com/profiles) and open one of the profiles you want to merge
2. Click **More** → **Merge with...**. _Merge profiles_ opens, with this profile selected first.
3. Select the other profile in the second dropdown
4. Click **Next step**
5. Select which values to keep for each field
6. Click **Merge**. _Confirm merge_ opens.
7. Click **Merge** to confirm

The merge step shows both profiles side by side with their data, next to the merged profile.

> [!WARNING]
> Merging profiles cannot be undone. The profile you started the merge from is permanently deleted, and the profile you selected is kept with the merged data.

## Delete a profile

Deleting a profile permanently removes them from your workspace.

1. Navigate to [Profiles](https://app.cevoid.com/profiles) and open the profile
2. Click **More** → **Delete**
3. Click **Delete** to confirm

> [!WARNING]
> Deleting a profile removes them from your loyalty program, deletes their posts from your workspace, and clears all their profile data. Their activity submissions remain but reference an anonymized profile, and their reviews stay as they are, with the author shown as _Anonymous_.
